Privacy Policy

Waitlist signups. When you join the waitlist, we collect your work email address. This is used solely to notify you when early access becomes available.

Account and property data. When you create an account and manage certifications, we collect information about your communities (property names, addresses) and your staff (names, roles, certification types, and expiration dates). This is the data you intentionally provide to operate the Service.

Usage data. We collect basic usage metrics (pages visited, actions taken) to improve the Service. This data is aggregated and does not identify individual users.

• To deliver the certification tracking and alerting features you signed up for
• To send you account-related notifications (e.g., upcoming certification expirations)
• To notify you when CertShield early access opens, if you signed up for the waitlist
• To improve and maintain the Service, including security and performance
• To respond to your support requests

We do not sell, rent, or trade your personal information to third parties for marketing purposes.

CertShield uses the following third-party services to operate:

• Hosting and infrastructure — Polsia, our hosting platform, which processes data on our behalf under strict data processing agreements.
• Email delivery— Polsia's email proxy, used to send account notifications and waitlist updates. Emails are sent from certwatch-2@polsia.app.
• Database — Prisma with PostgreSQL, hosted by Polsia, where your account and certification data is stored.

Each of these providers is contractually bound to use your data only to provide the service we have engaged them for, and to handle it in accordance with applicable data protection law.
